Float Care Coordinator/Receptionist



The Care Coordinator - Receptionist is responsible to the Center Administrator and provides a combination of referral coordinator and front office functions. This role is primarily responsible for assisting with medical management data entry and referral functions. As a secondary function, this role may also be called upon to perform appointment scheduling, patient registration, cashiering, answering incoming calls and other related clerical functions.

Essential Functions:

  • Represents the Company in a professional manner, following all Company policies and procedures.

  • Uses, protects, and discloses DaVita Medical Group patients’ protected health information (PHI) only in accordance with Health Insurance Portability and Accountability Act (HIPAA) standards.

  • Greets patients in courteous and polite manner.

  • Performs other duties as assigned.

  • Must have consistent, punctual and reliable attendance.

  • Ability to travel may be required.

Care Coordinator Duties:

  • Responsible for total coordination and processing of all patient referrals for specialty services.

  • Follows protocols for proper authorization and processing of all referrals.

  • Communicates with the patient on a timely basis for all scheduling requirements.

  • Coordinates pre-admission testing requirements with clinic personnel and patient.

  • Completes all administrative functions associated with referral activities in a timely manner.

  • Enters all referral, hospital, outpatient, DME and other patient specialty health service authorizations into the computer system according to Company policy and procedure.

  • Receives consultant reports, maintains documentation, and routes to the appropriate physician promptly.

  • Responsible for monitoring all referral reports not received and timely follow-up in accordance with Company policy and procedure.

Receptionist Duties:

  • Responsible for accurately and professionally handling all front desk operations including answering phones, greeting patients, scheduling of all appointments, balancing daily collections, addressing routine inquiries, and forwarding non-routine requests to appropriate personnel.

  • Receives incoming telephone calls in a prompt and courteous manner and performs clerical duties as directed.

  • Assists with the inventory and maintenance of business office supplies and the completion of business office reports.

  • Works daily reports, incomplete encounters, No Show reports, and other designated administrative reports according to Company procedures.

  • Conducts all front office functions as requested



  • High school graduate, GED or equivalent.


  • Demonstrated clerical skills (typing, filing, telephone courtesy).

  • Previous medical office experience with referral processing for HMO plans is preferred.

Knowledge, Skills, and Abilities

  • Must be able to display excellent telephone/switchboard etiquette.

  • Medical office experience preferred.

  • Knowledge of medical coding preferred.

  • Knowledge of business office operations and basic bookkeeping principles.

  • Must be computer literate.

  • Ability to interact and verbally communicate effectively with patients and all levels of personnel in a professional, courteous and effective manner with excellent customer service skills.

  • Ability to multi- task in a high paced environment with good organizational skills.

  • Ability to follow written and oral instructions and to work with general guidance.

  • Results and goal-oriented with a philosophy for quality improvement.

  • Possess high job accuracy, efficiency, and dependability.

  • Knowledge of medical equipment and maintenance.

  • Knowledge of HIPAA regulations.

  • Ability to read, speak, write, and understand the English language fluently.
