Under general supervision, provides administrative support of a highly complex and responsible nature for the manager, Director, Associate Administrator, Executive Officer and/or FMD. Interfaces with high level internal/external contacts requiring considerable discretion and initiative. Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines. Must have sufficient knowledge of the Clinic's structure, policies, and personnel to respond to inquiries and troubleshoot.
Provides complex administrative support which includes, managing complex calendar, scheduling meetings, project support, handling confidential, non-routine information and general administration matters, word processing, and other administrative tasks.
Stays informed of all aspects of the manager’s role in order to be proactive in offering assistance. Screens correspondence, calls, refers to appropriate personnel, departments or offers assistance in providing/obtaining answers.
Coordinates meetings and travel arrangements.
Communicates daily with manager and succinctly reports all actions taken on their behalf.
Opens mail for the manager, determining level of priority and responds to, handles or delegates to others as necessary.
Research background material and collect data for reports, speeches and correspondence.
Draft Power Point presentation.
Screens correspondence, emails, calls to refer to appropriate personnel, departments or assist in providing/obtaining answers.
Prepares meeting agenda, takes minutes, coordinates materials

Knowledge: Advanced computer skills and knowledge and proficiency in the use of Microsoft Office software and email applications.
Skills: Works effectively in a team environment. Excellent organizational skills and attention to detail. Excellent verbal and written communication skills. Excellent customer service and interpersonal skills.
Abilities: Reads, speaks, understands and writes proficiently in English. Ability to adapt to changes in the work environment and to shifts in organizational philosophy and expectations. Works with initiative, energy and effectiveness in a fast-paced environment to prioritize and multi-task, competing tasks and demands. Ability to be positive and flexible under pressure.
Education:High School Diploma or GED required; Associates Degree in Business or other field preferred.
Experience:Minimum of five years’ high level executive assistant or related experience, preferable in healthcare.
