Description

Summary: Assume the responsibility for the coordination of an effective, efficient surgery scheduling and admission process for all patients by receiving referrals, gathering and verifying pertinent information. Compile and input statistical information into appropriate facility systems.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Schedule procedures by obtaining all demographic information.

  • Coordinate with nursing staff to ensure all needed instruments, drugs and supplies are available for the cases scheduled.

  • Entering scheduling information into the computer.

  • Update time blocks on scheduling sheets.

  • Track the number of cases cancelled per month.

  • Notify clinical managers and anesthesia of any changes to the surgery schedule.

  • Complete competency skill requirements for the department correctly and in a timely manner.

  • Complete appropriate scheduling duties according to facility time frames and procedures.

  • Reschedule cancellations and no-shows in a timely manner.

  • Answer telephone promptly and effectively, completing all forms as appropriate.

  • Maintain accurate and up-to-date statistical data in computer information system within established time frames.

  • Utilize time effectively.

  • Adhere to established facility safety requirements and procedures to ensure a safe working environment.

  • Identify potentially unsafe situations and notify supervisor.

  • Complete all employee/patient incident documentation in a thorough and timely manner.

  • Demonstrate complete understanding of established emergency procedures for department and facility.

  • Practice infection control and standard precautions as instructed or trained.

  • Assist in maintaining adequate inventory, prepare requisition forms, and order supplies and equipment.

  • Perform all other duties as assigned by manager.

  • Attend and participate in all applicable facility training and development workshopsscheduled by the facility.

  • Maintain dress and appearance according to standards.

  • Demonstrate the safe operation of equipment and machinery and follow procedures for reporting and correcting an unsafe situation.

  • Strive to be professional, courteous, helpful and cooperative.

  • Input GI physicians scheduled patients into Groupcast as well as HST.

  • Perform Inventory tracking utilizing Preference Cards for all ASC cases.

  • Schedule surgical cases in addition to GI/Pain Procedures.

  • Audit charts for pain and surgical cases for inclusion of all necessary documents.

  • Send Pain Billing information to Pain Specialists office.

  • Assist in Chart prep for cases by pulling reports from Allscripts and placing in chart.

  • Send Provation(GI Reports) to Physicians’ offices.

  • Maintain timely and accurate communication with manager regarding schedule changes, problems or department needs.

  • Effectively communicate with patients, physicians, referral sources and facility staff to admit patients smoothly and effectively.

  • Demonstrate flexibility in view of interruptions.

  • Extend courtesy and politeness to all customers; exercise tact and understanding.

  • Demonstrate enthusiastic and effective welcome in all interactions.

  • Demonstrate effective use of telephone as part of the admissions process.

  • Communicate patient information to assure confidentiality and continuity of care.

  • Document all patient information according to established standards of care, policies and procedures.

  • Maintain confidentiality of all facility and patient information as required by facility policy.

  • Foster a positive and professional environment by interacting with all persons in a considerate, helpful and courteous manner, and by participating as a team member.

  • Diffuse/resolve conflict by appropriately communicating with those involved.

  • Accept constructive criticism and give suggestions in a professional manner.

Qualifications

Education/Experience

High School Graduate or equivalent; 1-2 years scheduling for health care entity; 2 or more years clerical experience, preferably in a health care environment. Must have excellent telephone etiquette and must be personable, friendly, and exhibit flexibility and positive interpersonal skills.
